Job Summary The HRIS Specialist will play a pivotal role in the efficiency and effectiveness of our Workday HRIS system. The Workday HRIS Specialist supports the maintenance of HR data and provides Workday related support, trouble-shoots system issues, and delivers end-user education to various partners within the business. This position will support ongoing process improvement activities to bring greater efficiency to HR through optimization of Workday, and automation of our processes as a subject matter expert (SME). This role is also responsible for partnering with the Global Workday teams, IT partners, and HR COEs for implementation/integration projects, recommending system enhancements, UAT system testing, and supporting on various adhoc reporting requests. The role requires exceptional analytical and problem-solving skills, as well as excellent communication and collaboration skills. Principal Responsibilities Acts as a first point of contact for user guidance and advice. Responds to queries and issues related to supported systems, analysing the issue to identify the root cause. Solves the issue directly or works with appropriate SMEs/vendors for issue resolution. Partner with internal stakeholders to implement HR technology solutions that help to streamline and automate HR processes. Maintains data quality of HRIS, including proper data security, by assisting with regular data audits and partnering within the HRIS team to resolve any data integrity issues. Translate business objectives and user needs into clearly written technical requirements while ensuring security, end-user access, and data integrity across all HR platforms. Responds to ad hoc data and report requests for HR stakeholders requiring data related to position status, locations, job requisitions, etc. Partners with People Analytics on reporting requests that require data manipulation and analytics. Participates in defining system requirements and testing and deploying solutions. Ensures there is a match between solutions and organizational system needs. Provides user support through documentation, developing and facilitating training, and creating supporting materials. Reviews and analyses system functionality and provide recommendations for improvements, documenting any implemented changes. Remains up to date on product developments. Lead system enhancement initiatives, including configurations and testing in non-production system environments, and develop prototypes and demos of new system features, modules, and functionality. Provide training to others when new business and system processes are implemented. Remain current with frequent updates and changes to technology. Develop training resources, guides, process documents leveraging available technologies. Assist with business analysis to define, design, document, test, and deploy features in Workday that propose viable solutions or improved processes. Ability to identify issues, apply judgment to find proactive solutions within our HR systems. Partner with Global Workday partners to configure, maintain, and advise on security within Workday application. This includes domain security policies, roles, and role assignments. Support the implementation of modules or point solutions and integrate them into the HRIS. Administrator for the HR systems and applications. Support critical system maintenance and operation tasks within the HRIS. Support the data governance processes and data standards. Qualifications & Experience Education & Certificates Bachelor’s degree (or equivalent) in IT, Data Science, Business, Human Resources, or 3-5 years of related experience. HRIS Analyst certification from Workday, or from other providers such as the Information Professional Certification (HRIP) from the International Association of Human Resources Information Management (IHRIM) is a strong asset. Technical Skill & Knowledge: Minimum 3 years of relevant HR Experience and exposure to HRIS systems and databases , i.e. Workday, Dayforce, etc. Experience with Headcount/Position Management within Workday. Knowledge of HR operations and continuous process improvement initiatives. Experience maintaining data integrity within and across systems, conduct system audits and reconcile discrepancies with other functional areas to ensure data accuracy. Ability to prioritize workload and execute tasks independently, providing timely follow-up and resolution. Experience delivering and participating in HRIS training, leading demos, and creating SOPs, training documents and creating relevant business process mapping. Ability to work in a team-oriented, collaborative environment. Experience with report writing and database management. Solid understanding of Human Resources processes and procedures with a broad knowledge of all aspects of human resources management systems. Experience with report building tools. Strong multi-tasking skills: demonstrates the ability to meet short-term needs while at the same time building a plan and systems for future needs. Expert in MS Excel Experience with data visualization (Power BI) and statistical modelling an asset.
